East O+G is a leading obstetrics and gynaecology practice, committed to delivering exceptional care for women and their families. We are seeking an experienced and highly organised Personal Assistant/Medical Administration to provide dedicated support to our Specialists.

This is a unique opportunity to work in a role that blends high-level administration, patient coordination, and specialist support — ensuring smooth day-to-day operations and an outstanding experience for patients.

About the Role

As a Personal Assistant, you will be the key point of contact for our Specialists, responsible for managing their calendar, theatre bookings, billing, and patient correspondence. You will play a vital role in supporting patients throughout their journey, coordinating appointments, and ensuring they feel cared for and supported.

Your day-to-day will include:

  • Managing diaries, appointments, and theatre bookings.

  • Acting as the first point of contact for patients, families, and health professionals.

  • Preparing correspondence, clinical documents, and secure messaging.

  • Coordinating patient appointments, follow-ups, and procedure support.

  • Processing billing, health fund claims, and managing aged debt.

  • Maintaining accurate patient and financial records.

  • Supporting the smooth running of consulting rooms, including equipment and supplies.

  • Providing relief cover for colleagues when required.

About You

We’re looking for someone with:
Minimum 2+ years’ experience as a Medical Personal Assistant or in a similar senior medical administration role.
Strong background in medical reception/administration, including billing and theatre bookings.
Excellent organisational and time management skills — able to work in a busy, demanding environment.
High-level written and verbal communication skills.
Ability to work independently and collaboratively as part of a supportive team.
Compassionate, patient-focused approach with genuine empathy.

Strong IT and practice management software skills.
Professional presentation, integrity, and commitment to ongoing development.
