About the Role

AvantiCare is seeking a friendly, organised and proactive Client Services and Administration Officer to join its team on a part-time basis.

Working Monday, Wednesday and Friday from 8:30am to 4:30pm, this role is the first point of contact for clients and providers, delivering exceptional customer service and administrative support across the business. This role also includes an important front-of-house component, supporting the day-to-day operations of sister company, Solenne.

The role has a strong focus on client communication, invoicing, accounts administration and general business support, while also supporting the rostering and scheduling of a mobile allied health workforce. You will play an important role in ensuring clients receive a seamless service experience and supporting the timely processing of billing and invoicing.

The ideal candidate will be customer-focused, highly organised and confident communicating with a diverse range of stakeholders. They will be able to balance administrative responsibilities with service coordination and adapt to changing priorities. They will also be comfortable taking ownership of invoicing and billing processes.

Key Responsibilities

  • Provide exceptional customer service via phone, email and in-person interactions.

  • Act as the first point of contact for reception and front-of-house responsibilities.

  • Respond to client and provider enquiries in a professional and timely manner.

  • Prepare, process and reconcile invoices, ensuring accurate and timely billing of services.

  • Maintain accurate client records and service documentation.

  • Assist with scheduling and appointment coordination for allied health clinicians.

  • Manage booking requests, cancellations and appointment changes.

  • Liaise with clinicians, clients and stakeholders to ensure smooth service delivery.

  • Support data entry and general office administration.

  • Contribute to the ongoing improvement of customer service and administrative processes.

Essential Skills and Experience:

  • Previous experience in customer service, administration or office support.

  • Demonstrated experience with invoicing, billing, accounts administration or similar financial administration responsibilities.

  • Outstanding communication and interpersonal skills.

  • Strong organisational skills and attention to detail.

  • Ability to manage multiple priorities in a fast-paced environment.

  • Proficiency with Microsoft Office and business systems.

  • A positive, professional and solutions-focused approach.

Highly regarded:

  • Previous experience in scheduling, rostering or workforce coordination.

  • Experience in healthcare, allied health, aged care or disability services.

  • Experience using Xero or similar accounting software.
