Are you an organised, proactive person who loves creating systems, supporting people and keeping things running smoothly?
Embrace Speech Pathology is a growing paediatric speech pathology practice supporting children and families across Adelaide. We are looking for a warm, professional and highly organised Administration & Operations Officer to become an integral part of our team.
This is much more than a reception role. You'll be the person who helps keep our clinic running efficiently, supports our clinicians and families, and contributes to the growth and organisation of the practice.
About the Role
No two days are exactly the same. You may be:
Greeting families and creating a welcoming clinic experience.
Managing phone calls, emails and new client enquiries.
Scheduling and rescheduling appointments.
Processing client payments, Medicare and private health claims.
Managing client onboarding and service agreements.
Maintaining digital filing systems and records.
Coordinating office supplies and therapy resources.
Supporting administrative projects and process improvements.
Assisting with compliance, quality systems and audit preparation.
Helping develop systems that keep the practice organised and efficient.
About You
We're looking for someone who:
Has exceptional organisational skills and attention to detail
Is confident communicating with families, children and professionals
Enjoys creating systems and improving processes
Can manage multiple priorities and work independently
Is proactive, reliable and takes initiative
Has strong computer skills and can quickly learn new software
Demonstrates intermediate Office skills including proficiency with Microsoft Office applications and similar software packages
Brings a positive, friendly and professional attitude to work each day
Desirable Experience
Administration, reception or customer service experience
Minimum 1-2 years of administration, reception or customer service experience required
Experience in healthcare, allied health, disability or community services
Experience with scheduling, billing or practice management systems
Confidence using Microsoft Office, Google Workspace and spreadsheets
Knowledge of the NDIS (desirable but not essential)
Knowledge of Clinical software SPLOSE (highly regarded but not essential)
