The Role

An exciting opportunity exists for a highly motivated and experienced Administration Officer to join the 9th Combat Service Support Battalion (9 CSSB) at Warradale Barracks, Warradale SA. As an APS 4 Administration Officer within 9 CSSB, you will work as part of a multi-disciplinary team comprising Australian Defence Force personnel, Australian Public Service staff and contractors.

Together, you will directly support 9 CSSB in achieving its operational and directed training outcomes. This is a key role that contributes to the effective co-ordination of administration, resources and day-to-day business operations. The position may also involve supervising a small team of full-time and part-time uniformed personnel.

As the APS 4 Administration Officer, your responsibilities will include, but are not limited to:

  • Utilising the Human Resource Information System (HRIS) to enter, interpret and present data to principal staff.
  • Processing invoice payments, responding to general resource enquiries, and managing a range of resource related functions.
  • Maintaining and coordinating records management systems in accordance with Defence policies and procedures.
  • Supporting a team-oriented environment and working effectively within a diverse workforce.
  • Sharing information, monitoring work practices, setting priorities, and developing local administrative procedures.
  • Supervising and providing leadership to a small team, including coaching and on-the-job training for less experienced staff.
  • Delivering front-of-office reception services, including greeting visitors and managing phone calls, emails and general correspondence.

Our Ideal Candidate

The ideal candidate will be an experienced Administration Officer with strong organisational and interpersonal skills, excellent attention to detail and the ability to manage competing priorities while meeting deadlines. You will demonstrate discretion and professionalism and possess well-developed communication skills across face-to-face, telephone and written formats.

To be successful in this role, you will have:

  • Demonstrated experience in an administrative service delivery environment.
  • Proficiency in Microsoft applications, including Outlook, Teams, Excel and Word, with the ability to learn Defence systems such as the Human Resource Information System (currently PMKeyS) and financial management systems.
  • Demonstrated experience using an Information and Records Management System, or the ability to be trained in the Defence system (Objective).
  • A commitment to on-the-job learning and participation in activities that build and maintain strong customer service skills and systems.
  • Proven ability to work collaboratively within a diverse team and work environment. You will be adaptable and responsive to a dynamic and evolving workplace, embracing change, identifying improvement opportunities and where required, co-ordinating directed administrative policy improvements.

Security Clearance:

Applicants must be able to obtain and maintain a security clearance at Negative Vetting Level 1.
